This Privacy Policy covers the processing of your personally identifiable data, which we collect through information request forms, newsletters, registrations for our events, and participation in them.
PURPOSE AND LAWFUL BASIS FOR PROCESSING YOUR DATA
Contact, management, and processing of queries and requests from website users. The contact form on the website is enabled for this purpose.

Purpose: When you contact Asociación Foro Nuevas Tecnologías en el Transporte (hereinafter, ITS ESPAÑA) through any channel made available to you via the website for inquiries or requests, your personal data will be processed to maintain contact between the parties, manage your status as a website user, provide customer support services, and manage and process your requests.

Sending invitations and managing your registration/participation in events, organisation, and logistics.

Purpose: To manage your data when you contact ITS ESPAÑA through the provided communication channels, whether via the contact form, telephone calls, face-to-face meetings/contacts, emails sent by you, or any other means. Additionally, your data will be processed to maintain contact between the parties and handle any queries you submit through the designated channels.

Lawful basis: For sending invitations, the lawful basis will be the legitimate interest of ITS ESPAÑA in creating and developing a network of contacts for public relations and/or networking with its stakeholders, as well as exchanging opinions on sector-specific issues or matters related to its activity, to contribute to the development of the communities where it operates. To manage your registration and/or participation in the event, the lawful basis will be (i) the consent you provide when registering through the designated corporate channels; and (ii) the management and processing of the legal relationship established between the user/guest (or the person invited to participate as a speaker or panellist) and ITS ESPAÑA, maintaining contact between the parties, hosting the event, and ensuring it takes place with the necessary guarantees so that all attendees can participate under the specified conditions.
Capture of corporate images and videos.

Purpose: Capturing images and videos for the creation of audiovisual material and its subsequent distribution across online and offline corporate media channels (e.g., corporate website, social media profiles, etc.).

Data processed: (i) photographs; (ii) video recordings.

Lawful basis: (i) For wide shots and ambient sound, the lawful basis will be the legitimate interest of ITS ESPAÑA in publishing and promoting the image and brand “ITS ESPAÑA” to provide visibility and boost the public image of the ITS ESPAÑA group in line with its ideals and values; (ii) for images or recordings captured during an event, directly or indirectly by ITS ESPAÑA, featuring close-ups where your face and/or voice can be directly recognised, the processing of your data will be legitimised by your consent. Intentionally posing for a photograph implies your consent—that is, looking directly and intentionally at the camera or recording equipment. By consenting to the processing of your images, you also agree to the royalty-free transfer of your image rights for use through any technical media currently known or developed in the future, for the maximum period permitted by law and without geographical limitations. If you do not wish to appear in any image and/or recording, we advise you to avoid posing and to stay away from any areas that may be specifically designated as photography zones.

HOW LONG WE RETAIN YOUR DATA
The personal data provided will be retained for a period determined by the following criteria: (i) statutory retention obligations; and (ii) erasure requests submitted by you in applicable circumstances. Generally, when personal data is no longer necessary for the processing purposes, it will be blocked. It will remain solely available to competent authorities for the potential determination of legal liabilities in accordance with applicable regulations, and cannot be used for any other purposes. Once the legal limitation periods for potential legal actions have expired, your data will be permanently deleted from its blocked status or, if applicable, securely anonymised by ITS ESPAÑA (anonymised/non-personal data).
INTERNATIONAL TRANSFERS OF PERSONAL DATA
Please be advised that, as a general rule, no international transfers of your personal data are planned. In any case, ITS ESPAÑA adopts all necessary measures and safeguards in accordance with applicable personal data protection regulations.
User Rights
ITS ESPAÑA informs Users of their right to exercise their rights of access, rectification, objection, erasure, data portability, and restriction of processing, as well as the right to object to automated decision-making regarding the personal data collected by ITS ESPAÑA.
These rights may be exercised free of charge by the User (and, where applicable, their representative) by sending a written and signed request to the following address: Calle Serrano 216, 1º derecha, 28016 Madrid. This request must include the following details: the User’s first name and surname, an address for notification purposes, a photocopy of their National Identity Card (DNI) or Passport, and the specific details of the request. In the case of representation, this must be proven by a valid legal document. Users may also exercise these rights via email at congresos@itsspain.com.
In addition to the rights above, Users have the right to withdraw their consent at any time using the procedure described above, without such withdrawal affecting the lawfulness of the processing carried out prior to its withdrawal. ITS España may continue to process User data to the extent permitted by applicable law.
ITS ESPAÑA reminds Users that they have the right to lodge a complaint with the relevant supervisory authority, the AEPD (Spanish Data Protection Agency).
